Personal Best Worldwide is urgently hiring an exceptionally organised Personal Assistant / Office Administrator to join our client in Bend, OR.

Company Overview –

The clinic is independently run, small & intimate and has a fantastic team. The clinic generally cares for domesticated pets such as dogs, cats, rabbits and other small animals.

The clinics team comprises – 2 full time vets, 1 part time vets, 2 CVT’s, 2 receptionists and an office manager. The team is close knit and supportive to each other, lending help where possible.

Personal Assistant / Office Administrator – Essential Skills & Experience

Our ideal candidate will have previous experience as a personal assistant, office manager or executive assistant be highly organised and flexible. The role will be to support the owner of practice in both the day to day running of the practice and also personal errands.

  • Minimum of 2 years previous experience in a similar role
  • Strong numerical skills, previous experience using QuickBooks or with light bookkeeping is desirable
  • Customer focused with a positive attitude
  • Demonstrated ability to effectively communicate both verbally and in writing.
  • Confident in inventory checking, stock ordering, and helping with light HR matters.
  • Previous reception experience is advantageous – must be happy to pitch in and help reception out when needed.
  • Able to manage own time and work-load effectively.

Personal assistant/Office admin- the role & what you’ll do-

  • Coordinate with the owner to run personal or practice errands as required
  • Assist with light bookkeeping, make payments and account for incoming payments
  • Create correspondence and send out as required
  • Complete inventory checks and order inventory when required
  • Arrange interviews & sit in on candidate interviews with the owner
  • Assist with reception & scheduling duties when required.
  • Take part in continuous training and development
